Give each unit a temporary label in your own notes, such as A, B or C. Match its visible code and photographs to that label. Keep unidentified units in the count and describe what you can see.

A notebook or spreadsheet is enough. Record the quantity, visible markings, known condition and the postcode where the batch is held.

Take an overview that makes the batch easy to understand. Keep units intact and avoid stacking them in a way that hides damage or creates an unstable pile.

Link close-up photographs to the right unit in your notes. Describe any uncertainty, damage or missing material rather than guessing.

Use the three-photo allowance for an overview and useful detail. Include the total quantity in the form and mention if you have additional records to discuss.
